Five Simple Changes That Can Save You the Most Time

/1/ Time Management Means Cutting, Not Adding The night before, spend ten minutes writing down your priorities for the next day. Block time for the three tasks that matter most so your schedule is set before you wake up. This one habit does two things: it lets your brain wind down instead of rehearsing tomorrow’s unfinished business, and it puts you in control of your day before the day tries to control you.

/2/ Pay attention to your energy cycles. Most people think clearly in the morning and fade after lunch. If that’s you, protect those hours for work that demands real concentration. Organizing your day around your natural performance curve prevents burnout and frees low-energy time for tasks that don’t require much of you.

/3/ Cut obligations, don’t add them. More time isn’t the solution to a time management problem. Better judgment about what deserves your time is. There are countless things you can do, want to do, or feel obligated to do, but only a handful you actually must do. Focus there. Drop the rest.

/4/ Build routines for the repeatable parts of your day. Every decision you automate is one less thing your brain has to process. That mental space gets redirected to work that genuinely needs it.

/5/ Keep a time log for at least a day, ideally a week. Record where your time actually goes, then review it without softening what you find. Unproductive patterns don’t announce themselves. You have to go looking.

Optionality is the Ultimate Hack: The Power of Preserving Future Choices Liberty lives not in certainty but in optionality—in the deliberate enlargement of possible futures.

Here’s a useful rule of thumb when you’re stuck: when choosing between two paths, pick the one that opens more options later.

Most people default to the guaranteed outcome. Staying home is comfortable. Going to the event is exhausting. Instinct favors comfort, and we dress that up as prudence. But comfort and safety aren’t the same thing. The option you don’t take doesn’t register as a loss—it just never materializes.

Jeff Bezos captured this with his one-way and two-way door framework. One-way doors are hard to reverse. Two-way doors aren’t. Favor the choice that keeps more options in play, especially when the cost of being wrong is recoverable.

Optionality as a decision-making framework pays off most during periods of active exploration—your 20s and 30s, or any serious career transition. Choices compound. Repeated openness builds real flexibility. Repeated comfort narrows what becomes available over time.

Optionality isn’t indecision. It’s a bias toward action that preserves future choice. More options available means navigating setbacks from a position of strength. That’s not a small advantage.

Idea for Impact: Every decision shapes the next set of decisions available to you. The right question isn’t “what do I get from this?” It’s “what does this make possible next?”

The Only Cure for Imposter Syndrome Is Evidence Imposter syndrome has a specific texture. It’s not ordinary self-doubt—it’s the persistent fear of being found out. That despite the title, the track record, the results, something is undeserved, and sooner or later someone will notice.

The only way through it is evidence, gathered honestly.

Look back at the last year or two with a specific question: where did you demonstrate real ability, and where did sustained effort produce something worthwhile? Not a general sense of having worked hard, but concrete instances—the project that succeeded, the problem you solved, the moment someone relied on your judgment and it held up. These are data points, and they’re useful precisely because they’re verifiable.

That evidence does two things. It builds a credible account of your own competence, and dismantles the hidden assumptions that imposter syndrome runs on. Those assumptions rarely survive contact with a clear-eyed record of what you’ve actually done.

The goal isn’t uncritical self-confidence. There’s almost always room to improve, and acknowledging that is part of what makes the exercise credible. The point is to hold two things simultaneously: justifiable pride in what you’ve earned, and enough humility to keep improving.

Idea for Impact: Imposter syndrome fades when the evidence outweighs the feeling. So build the evidence.

You think you can judge a day by its immediate results. You cheer the win, grieve the loss, and call it settled. But life doesn’t close its books on your schedule.

A venture collapses after years of effort. A triumph curdles into a trap. A setback forces the pivot you didn’t have the nerve to make. Influence is narrower than you’d like: you can’t demand breakthroughs on Tuesday at 2:00 PM, and you can’t rush the maturity of complex work.

Tie your mood to these externals and you hand your peace of mind to chaos. The only variable under your command is effort. Kipling’s reminder in If— still stands: Triumph and Disaster are imposters. Triumph seduces you into arrogance; Disaster tricks you into despair. Treat them the same because neither defines you.

Success is often delayed recognition, flavored by luck. Failure is often the price of progress. The wise man measures his life not by victories or defeats, but by the steadiness of his effort.

Today’s setback may clear tomorrow’s path. Today’s victory may breed tomorrow’s complacency. Since you can’t see the end of the thread, the only rational move is to keep a steady hand, do the work, and let the results arrive when they’re ready.

A Mediocre Plan in the Right Context Beats a Brilliant Plan in the Wrong One A quote often attributed to Charlie Munger cuts straight to the point: “What boat you are in is far more important than how hard you row.”

This is about leverage—the overlooked variable. A mediocre plan in the right context beats a brilliant plan in the wrong one. Context is the multiplier.

Every environment carries a baseline rate of return on effort. High-performers don’t burn out from lack of skill. They burn out from applying serious effort to the wrong situation. A person of average ability in a high-growth field will likely outpace a genius in a dying one. An emotionally average person in a healthy relationship will flourish where a gifted communicator slowly corrodes in a toxic one.

The most important work isn’t execution. It’s selection.

Your environment doesn’t just surround you—it rewires you. A healthy system pulls average performers upward. A toxic one quietly degrades even the best.

Choose the boat carefully. Then row.

P.S. The quote originates in Warren Buffett’s 1985 Berkshire Hathaway Shareholder Letter, where he wrote that “energy devoted to changing vessels is likely to be more productive than energy devoted to patching leaks.” Munger preached the concept so relentlessly that the metaphor eventually took his name.

A lot of folks think they’re putting more hours into strategic work than they actually are. Check your calendar from the past month. If you’re anything like the managers I work with, you’ll probably find it’s easier to justify your daily grind than to explain why you’re doing everything you shouldn’t be.

  • Make time audits a habit. Add up the hours you’ve spent on your strategic priorities. Was it enough? Most people end up scrambling with urgent tasks instead of focusing on what really matters.
  • Identify your top three priorities for the year and ensure you’re dedicating enough time to them each week. If you’re falling short, it’s time to cut back on other commitments, delegate more, and clear some space in your schedule for what truly counts.

Idea for Impact: Your time often drifts away from your intentions. Don’t just run hard without making progress. Get your priorities straight. Be disciplined with your time.

The root cause of clutter is often procrastination when it comes to making decisions, even small ones. For instance, choosing to toss your keys and wallet in random places instead of setting them in the same spot each time you arrive home. Neglecting to hang your coats or putting away your tennis racquet can also contribute to the problem.

Many of us tend to ignore household chores until the mess becomes overwhelming. But even if you feel like you can’t tackle the entire house, committing to just three minutes of tidying up can make a huge difference in the appearance of your home. This small amount of time can be incredibly valuable if you use it intentionally.

Here’s a hack to help you get started:

  1. Recognize the power of three minutes.
  2. Set a timer for three minutes and choose an area to focus on until the timer goes off.
  3. Confront the mess and clean it up.

You’ll be surprised at how much more orderly your home will look in just three minutes. Making your bed, picking up clothes from the floordrobe and the chairdrobe, stowing away shoes, unloading the dishwasher, vacuuming one room, or taking the recyclables to the car trunk are all simple tasks that can transform your living space. By repeating these tiny time investments throughout the day, you’ll see a significant change in the overall cleanliness of your home.

Idea for Impact: As you begin tidying up even a small portion of cluttered areas, you’ll notice momentum starting to build. Before long, you may find yourself actively seeking out additional spaces to tidy. Within a matter of days, it becomes clear that letting things go unchecked is what led to being overwhelmed by clutter in the first place. This sense of progress can be incredibly motivating, making it more likely that you’ll stick to your new habits and achieve success in your efforts. In an ideal world, we would all adopt the mindset of cleaning up as we go.

Three Rules That Will Decide If You Should Automate a Task

To check if a process or a workstream is a good candidate for being automated, see if it meets all three of these criteria:

  1. The process must be a well-oiled machine. The requirements and outcomes are well established. Is the process stable enough to be automated?
  2. The process doesn’t need someone to engage with it each time. It doesn’t need manual intervention, oversight, excessive customization, or finesse. It runs in the backdrop; it’s boring and doesn’t require ‘higher-order’ thinking. Are there decision points within the process that require human intervention?
  3. The process is time-consuming. By automating it, will you save at least 4x what you’ll invest in automating it?

If the manual process is broken or doesn’t exist, then automating it before it’s a “well-oiled machine” may lead to mistakes and unnecessary rework. Establish success with the manual workflow before attempting to automate it.

Idea for Impact: Picking which processes to automate isn’t easy; yet, the closer you observe the workflow deeply, the sooner you can understand both the happy path to automation and the exceptions.

How to … Make a Dreaded Chore More Fun

If everyday chores feel like a drag and you don’t have the motivation to do anything but be on your phone and laze around, consider the following actions that have most benefited my clients:

  • Find a friend you can talk to long-distance while you both tackle household chores. You can keep each other accountable.
  • Challenge yourself to beat the clock. Set a time to complete the task, and see how much ahead you can get it done.
  • Do “three-minute tidy” routines throughout the day. Choose a room or clutter magnet and go at it for three minutes. Sprucing up as-you-go throughout the day is more agreeable than a long list of must-dos that must be tackled at once.
  • Begin a dreaded chore in the morning or at the earliest you can. So the rest of the day is free for having some fun. The sooner you check off your to-do list, the more motivated you tend to feel.
  • Embrace the mess. It’s okay is good enough. Tolerate some clutter from time to time and excuse yourself for not getting all the chores done or having a perfect home. Think about it as a form of prioritization.

How to … Nap at Work without Sleeping

Make nap time the new coffee break. A quick snooze boosts productivity and improves memory and problem-solving.

Bill Anthony’s The Art of Napping at Work (1999) states that a shot of shut-eye was an indispensable afternoon pick-me-up for some of history’s greatest achievers, viz., Aristotle, Eleanor Roosevelt, John D Rockefeller, Leonardo da Vinci, Lyndon B Johnson, Margaret Thatcher, Napoleon, Salvador Dalí, Thomas Edison, and Winston Churchill.

According to the University of California-Irvine sleep researcher Sara Mednick, you don’t want to get into a deep sleep because you need to be alert. Her Take a Nap! Change Your Life (2006) uses the term “sleep inertia” to describe the inability to shrug sleep off after a nap. This impaired state worsens as you go deeper and deeper into sleep. So the trick is to avoid getting deep sleep.

If you nap about twenty minutes, you’ll be in light sleep, which is easy to get out of. In other words, twenty minutes is long enough to reach Stage 2 sleep but short enough to ward you off from waking up groggy.

Idea for Impact: Go ahead and snooze for 20 minutes, ideally sometime between 2 p.m. and 4 p.m. Step into bright light or splash your face with water if you need help regaining alertness after the alarm goes off. The post-nap energy spike can last for several hours.
