Don’t Over-Deliver

Many tasks in the workplace could be done with total adequacy and barely more.

Don’t get fixated on ensuring that every task is entirely done, every email edited and re-edited to get the grammar right, or every spreadsheet is flawless. This is a pointless pursuit.

Sure, you don’t want to be a careless hammerhead. But don’t waste time sweating the little stuff. There comes the point where any changes you make to whatever it is you’re working on no longer makes it better but just different. Identifying the inflection point of diminishing returns is one of the hardest skills to learn and one of the most necessary.

Don’t agonize over tiny improvements in your work and thwart yourself from achieving the actual goal of doing the work.

Idea for Impact: Most acceptable outcomes correlate with “good enough,” not “perfection.” Being consistently excellent is essentially a matter of fierce discipline—doing the essential things well.

Beware the Opportunity Cost of Meditating

Many people claim to derive substantial benefits from mediation. Experiencing the present moment can help exclude the torrent of diverse thoughts and mind-wandering.

But sometimes, meditation may not be the most prudent use of your time, especially if you’re stressed.

Disruptive thoughts emerge when you sit down to meditate. Not engaging in them can be challenging if you aren’t an experienced meditator.

Unloading your mind precludes thinking and, in turn, making progress on your issues and dilemmas. Meditation increases the sense of time starvation. After your meditation session, your troubles are still there, only that now you have lesser time to solve them. And losing time is even palpable if you attend a meditation retreat for days or weeks.

Idea for Impact: Meditation is not a substitute for action. Sometimes you could benefit more from spending that time on more active approaches to deal with whatever’s stressing them out. Try journaling, thinking through what needs to be done, withdrawing to a secluded corner for focused work, chatting with friends and colleagues, or seeking counseling. As with meditation, these actions allow you to step back from your life to take a meta-view of whatever you want. That can reduce your stress and improve your approach to problems.

Hooked on Feeling Needed?

If, like many people, you just can’t say ‘no,’ consider if you’re hooked on feeling needed.

Take a hard, long look at yourself and examine if you unwittingly encourage—even need—people to come to you for every little thing.

Do you find affirmation in feeling needed? Do you try to do too much for others? Faced with an unpleasant task, do you look to turn our attention elsewhere? Do others’ interruptions offer reasons to do what you needn’t do and excuses to avoid doing what you’re supposed to do?

Idea for Impact: The greatest gift you can give those who need you is carving out time for your own critical tasks so you can be available when they really need you.

Make the Problem Yours

From a profile of The Gillette Company’s then-CEO Jim Kilts in the 20-Dec-2002 issue of Fortune magazine:

At a meeting with all his division chiefs, Kilts asked for a show of hands: “How many of you think our costs are too high?” Everyone in the room immediately raised his hand. Then he asked, “How many of you think costs are too high in your department?” Not a single hand went up. According to Kilts, it’s a common response among managers of companies in trouble: Everyone knows there’s a problem, it’s just that nobody thinks it’s his problem. And that’s where Kilts comes in: He’ll make it his problem–and yours, if you plan on keeping your job.

Idea for Impact: Make the problem yours. Think and act like an owner.

One of the most underrated skills most employees lack is ownership/stewardship—taking responsibility for results, recognizing when things aren’t working, and getting problems solved.

Plus, teams mirror initiative-takers. When someone starts to take ownership, other people see that, and they’re likely to take ownership of their bits as well.

How to … Overcome the Tyranny of Your To-Do List

Long before management consultants made the humble 2×2 matrix their stock-in-trade, President Dwight D. Eisenhower used the format to create one of the most powerful productivity tools of the 20th century: take your itemized to-do list, and dichotomize all the items on their importance and urgency. Then, classify these on a 2×2 with urgency on the x-axis and importance on the y-axis. The items in each bucket warrant a different kind of response.

  • The urgent-and-important tasks in the ‘Do’ quadrant need doing now (e.g., call the fire brigade if your house is burning down.)
  • The urgent-but-not-important tasks in the ‘Delegate or Automate’ quadrant are best delegated where possible (think booking a hotel or clearing low-priority emails.)
  • The important-but-not-urgent tasks (strategic planning, training) in the ‘Schedule’ quadrant should take up most of your time. Eisenhower noted that truly vital yet immediate tasks are few and far between: “I have two kinds of problems, the urgent and the important. The urgent are not important, and the important are never urgent.” That means committing to doing the tasks you schedule. Being effective can’t happen if you keep kicking the can down the road.
  • The neither-important nor-urgent tasks in the ‘Eliminate’ quadrant are usually time-wasting activities and must be eliminated forthwith. They don’t move you towards achieving your goals.

De-prioritize Stuff You Shouldn’t Be Doing in the First Place

The Eisenhower Priority Matrix isn’t entirely ground-breaking. Still, it can help you recognize you can deliver yourself by knowing it’s okay not to complete them all, so long as you get the most vital ones done. The challenge lies in being able to determine what’s essential and what isn’t, as expounded tediously in Steven Covey’s First Things First (1994):

Urgent matters are those that require immediate action. These are the visible issues that pop up and demand your attention now. Often, urgent matters come with clear consequences for not completing these tasks. Urgent tasks are unavoidadable, but spending too much time putting out fires can produce a great deal of stress and could result in burnout.

Important matters, on the other hand, are those that contribute to long-term goals and life values. These items require planning and thoughtful action. When you focus on important matters you manage your time, energy, and attention rather than mindlessly expending these resources. What is important is subjective and depends on your own values and personal goals. No one else can define what is important for you.

The key to productivity is to be very selective in what you pick and execute your most important priorities. Be ready to delegate and be quick and not-to-perfection on as many things as possible. You really don’t need to give 110% on everything.

Idea for Impact: Use the Eisenhower Priority Matrix to Triage Your To-Do List

The Eisenhower method can be an indispensable weapon in your efficiency arsenal. Your life will never be the same when you internalize clarity of habits. Once you’ve been using the matrix for a while, you can realize a pattern of your own behavior. With some discipline, you can change your behaviors to ensure you’re spending more time on the ‘Schedule’ and ‘Do’ quadrants, improving your ability to plan your work.

Try taking a few minutes each day and analyze your task list. Are there things on there that you can delegate or eliminate? Are you genuinely focusing on the right tasks? It’s incredible how much more productive you can be with a bit of planning and forethought.

Thirst is a Late Indicator of Dehydration

If you’re feeling parched, if your mouth feels dry, your body has likely lost 1 to 2 percent of its water content already. That’s a late indicator of dehydration, particularly in older adults.

Idea for Impact: Amid the current record-breaking heat wave, don’t wait for thirst to set in. Monitor for early clues from your body telling you it needs fluids—darker-colored urine, reduced exercise performance, headache, exhaustion, wooziness, and hunger.

How to … Make a Dreaded Chore More Fun

If everyday chores feel like a drag and you don’t have the motivation to do anything but be on your phone and laze around, consider the following actions that have most benefited my clients:

  • Find a friend you can talk to long-distance while you both tackle household chores. You can keep each other accountable.
  • Challenge yourself to beat the clock. Set a time to complete the task, and see how much ahead you can get it done.
  • Do “three-minute tidy” routines throughout the day. Choose a room or clutter magnet and go at it for three minutes. Sprucing up as-you-go throughout the day is more agreeable than a long list of must-dos that must be tackled at once.
  • Begin a dreaded chore in the morning or at the earliest you can. So the rest of the day is free for having some fun. The sooner you check off your to-do list, the more motivated you tend to feel.
  • Embrace the mess. It’s okay is good enough. Tolerate some clutter from time to time and excuse yourself for not getting all the chores done or having a perfect home. Think about it as a form of prioritization.

Get Your Priorities Straight

Most folks don’t take the time to write down and prioritize their values and goals. That’s the cornerstone of the all time-maximizing strategies.

Without distinct values and priorities, many people devote insufficient time to activities that support their most significant priorities.

No matter your goals, begin by thinking thoroughly about why you are engaging in any activity and what you expect to get out of it. Then be time-conscious. Match your time allocations with these top goals. Deliberately decide if you want to pursue each task required of you. Recall, too, that what you get done, and not time, in and of itself, is the best measure of success.

Get Good At Things By Being Bad First

Your first attempts are going to be bad

A technique used by many a brilliant inventor:

  • Make something. Get it functional. Get it adequate. It’s okay if it’s subpar.
  • Then, stumble around. Iterate until it’s good.

Now, that’s a better creative process than making something good on the first go.

Start, even if you’re bad at it

Case in point: Write bad first drafts quickly. Start by getting something—anything—down on paper. Let it all pour out. Let it romp all over the place. No one’s going to see it. You can shape it up later. You can gradually polish the thought flow and enrich the choice of words.

If you aren’t willing to be bad initially, you’ll never get started on anything new.

It’s vastly easier to revise your way into a cut above than drum up brilliance out of thin air.

The way you create something good is by launching into it and then iterating gradually rather than by going into your cave and trying to create that perfect masterpiece.

Essentially, this is agile development. The best programmers write functional code to prove some concept. Along the way, they’ll get a better understanding of the business need for the software and the workflow. Bit by bit, they rework snippets of code and improve continuously.

Idea for Impact: Just start. Do a bad first job.

The bad is the precursor to the good. Bad will get you started. It’ll move you forward. Pressing on, you’ll get illuminated, enlightened, and informed.

Momentum is everything. Don’t put off any contemplated task thinking, “This is hard. I don’t know how to do this well. I’m going to have to do it perfectly. Or I need to wait till I have enough time.” The instant you stop cold and put something off, momentum starts the other way.

Motivation is often the result of an action, not its cause. Taking action—even in small, sloppy ways—naturally produces momentum. It’s a better solution than trying to do it right the first time.

How to Keep Your Brain Fresh and Creative

If you need to make much progress on a project, you may feel constrained to work on it in one sitting-down.

Don’t.

No one can concentrate on a single task all the time.

Break up your day—and your thought patterns—by regularly engaging in activities that aren’t intellectually taxing.

Plan your distraction. Have a little something to look forward to—a 15-minute break to watch the highlights of last night’s match, for example. Stretch, dance, or get a glass of water. Go for a short walk around your neighborhood.

According to neuroscientist Adam Gazzaley and psychologist Larry Rosen’s The Distracted Mind: Ancient Brains in a High-Tech World (2016,) regular breaks can lower mental fatigue, boost brain function, and keep you on-task for more extended periods. Creativity can flow when your mind wanders, allowing you to synthesize information uniquely.

When you sit back down to resume working, you’ll be emotionally regulated and have your mental resources replenished. This helps you be more creative and get more done.

Idea for Impact: Work in spurts. Set specific times to take recesses and stick to them. Your mind needs a break—a “state change,” in fact—at least every 30-45 minutes to work more effectively.
